Summary: Scout is a B2B SaaS platform. We collect only what is necessary to deliver the service, we do not sell your data, and we give tenants full control over their customer conversations. Read on for full details.
1. Who We Are
Scout ("Scout", "we", "us", or "our") is an AI-powered chatbot and live chat platform operated by Devrental (devrental.com). This Privacy Policy explains how we collect, use, store, and protect information when you use our platform at chat.devrental.com.

2. Who This Policy Applies To
This policy covers two groups:
- Tenants — businesses and developers who create a Scout account, install the plugin or embed the widget, and manage their chatbot from the Scout dashboard.
- End-users (Visitors) — customers of a Tenant who interact with the Scout widget on a Tenant's website.
Tenants are responsible for informing their own visitors that a chatbot collects conversation data. Scout provides the infrastructure; Tenants are the data controllers for their visitors' data.
3. Information We Collect
From Tenants (account holders):
- Name, email address, and business information provided during signup
- Payment method details — handled entirely by Stripe; we never store card numbers
- Store/website data synced by the plugin (products, FAQs, business info) for AI context
- Dashboard usage activity for support and security purposes
From Visitors (end-users of a Tenant's widget):
- Optional lead capture data (name, email, phone) — only if provided voluntarily in the chat widget
- Chat messages sent during a conversation
- Images uploaded to the chat (stored securely on Cloudflare R2)
- The domain name of the website where the chat took place
- Approximate session timestamps
Automatically collected:
- Browser type and general device category (for widget rendering)
- Server access logs (IP address, request path, timestamp) — retained for 30 days
4. How We Use Your Information
- To deliver the Scout chatbot service — routing messages, generating AI responses, managing conversations
- To process billing and manage subscriptions via Stripe
- To send transactional emails (subscription confirmation, payment receipts, plan change notifications)
- To provide tenant dashboard functionality — conversation history, bot configuration, analytics
- To detect and prevent abuse, enforce rate limits, and ensure platform security
- To improve Scout's AI response quality through anonymised aggregate usage patterns
We do not use visitor conversation data to train AI models without explicit opt-in. We do not sell or rent any data to third parties.
5. AI Processing
Scout uses a multi-layer AI engine to generate responses to visitor messages. When a message is processed by AI, the content of that message is transmitted to our AI service providers as part of an API request. These providers process the message solely to return a response and do not store or train on it under their enterprise API terms.
Messages are not attributed to individual identities when sent to AI providers — only the conversation context necessary to generate a helpful reply is included.
6. Third-Party Services
Scout integrates with the following third-party providers to deliver the service:
- Stripe — payment processing and subscription management. Stripe's Privacy Policy applies to payment data.
- Cloudflare R2 — secure storage for images uploaded in chat. Images are stored in private buckets.
- Google Fonts — UI font loading. Google's font API may log request metadata.
- AI inference providers — message content is sent to generate AI replies (see Section 5).
We do not use advertising trackers, third-party analytics SDKs, or social media pixels on the Scout platform or widget.
7. Cookies and Local Storage
The Scout dashboard uses session cookies to maintain login state. The chat widget uses localStorage (not cookies) to persist the visitor's conversation ID and customer identifier across page loads within the same browser. No cross-site tracking occurs.
We do not use advertising cookies or tracking pixels.
8. Data Retention
- Active accounts: Tenant and conversation data is retained for as long as the account is active.
- Cancelled accounts: Data is retained for 30 days after cancellation to allow recovery, then permanently deleted.
- Server logs: Access logs are purged after 30 days.
- Uploaded images: Deleted when the associated conversation is deleted or the account is closed.
9. Data Security
We take reasonable technical and organisational measures to protect your data, including:
- HMAC-SHA256 signed API requests between widgets and our backend
- Isolated database per tenant — one tenant cannot access another's data
- HTTPS enforced across all endpoints
- Private Cloudflare R2 buckets for uploaded images
- Access to production systems restricted to authorised personnel
No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but commit to responding promptly to any breach.
10. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the data we hold about you
- Correction: Request correction of inaccurate data
- Deletion: Request deletion of your data (subject to legal or contractual obligations)
- Portability: Request your data in a portable format
- Objection: Object to certain types of processing
To exercise any of these rights, email us at support@devrental.com. We will respond within 30 days.
Visitors whose data is held within a Tenant's account should contact that Tenant directly, as they are the data controller for that data.
11. Children's Privacy
Scout is a business-to-business platform and is not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has submitted personal information through a widget on your platform, please contact us so we can delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. For significant changes, we will notify active Tenants by email. Continued use of Scout after changes are posted constitutes acceptance of the updated policy.
